One of the UK’s fastest growing and inspiring PR/Communications Agencies is recruiting an Office Experience Manager to join their dynamic team.
Office Experience Manager responsibilities include:
Office Experience & Office Culture
• Developing an overarching approach for the office, with input from the Management team, to elevate their client, guest and staff experience; from the entering the office to the experience within
• Working closely with interior decorator/s to keep the office look and feel maintained to a very high standard.
• Working with the Café Manager to develop social initiatives, i.e Friday Drinks, and managing external providers
• Going above and beyond to proactively suggest ways to enhance the office; i.e. branded merch for new starters, a signature scent, sound/ speaker systems, mood lighting etc
• Assisting the Experiential Manager on logistics for staff entertaining and parties
Managing Office Staff
• Managing the Receptionist and Café Manager, delegating tasks to them and ensuring they can do their roles effectively
• Conducting check ins and reviews for the Receptionist and Café Manager, in accordance to the HR teams' timelines
Office Management
• Ensuring the cleanliness/tidiness of the office is at a high standard; including the kitchens, communal areas and meeting rooms (supported by the Receptionist and Café Manager)
• Daily set up of the Board Room, ensuring it is ready for the day – tea set up and fruit platter, and ensuring coffee orders are taken for first meet of the day (potentially with use of iPad)
• Developing a process for deliveries and storage to ensure optimum space use, working with the account teams to ensure it is adhered to
• Overseeing the Front of House and reception area, ensuring there is always cover i.e. when the receptionist is on a break / sick
• Preparation for client / new business and internal meetings (ie Board Meetings), to include ordering catering or additional items required, technology checks to ensure equipment works and supporting the teams to upload presentations
• Developing and approving orders for catering stock and cleaning items/ alongside the Café Manager (working from an approved budget)
• Ordering all office supplies and assisting with financial reconciliations
• Overseeing general office repairs/maintenance
• Stocktaking and ordering of office supplies; including printer cartridges, paper, stationary etc
• Ensuring the receptionist manages the subscriptions i.e magazines / newspapers
• Keeping a comprehensive office budget spreadsheet on general spend
• Providing weekly reports on the office operations for DMD’s UK Weekly Operational Report
Facility Management
• Facilities management; waste, utilities, cleaners, internet providers (ensuring a good service and payment process for finance ie. supplying POs)
• Being the main point of contact for the Building Management / Reception and dealing with issues like air conditioning, alarms, lifts, entry fobs, security
• Ensuring office equipment, hardware and furniture is in working order
• Keeping logs of office equipment and completing a starters and leavers equipment checklist; i.e. the allocation and return of laptops
• Ensuring the office complies with statutory requirements e.g. PAT testing, Alarm service, general maintenance arrangements, and that we have dedicated First Aid and Fire Wardens
• Being the main contact for IT matters with the external provider, including providing feedback / managing any issues with their service
Skills /Experience:
• Proven Office Manager experience
• Excellent organization skills
• Ability to use a range of office software, including Outlook and Excel.
• Report writing.
• Superb attention to detail.
• Experience in managing office support staff
• Experience in managing financial budgets
• Proven experience in managing an office move
