Our client, one of the leading names in the world of Cinema and Film, is looking for a multi-talented EA/Project Manager to join their London operation. In a role which will see you working across various different parts of the business, but with a main focus on EA support for the CEO and COO, you will be the lynchpin in the office of this thriving and world-renowned business.
Main Responsibilities:
- Constant complex and changeable diary management to the CEO and COO.
- Arrange all meetings and conference calls for the CEO and COO; offsite and onsite, including calls which may cross over time zones and arranging catering.
- Support the CEO and COO in preparing for meetings including helping with presentations, reports, research and collation of relevant information.
- Answer and field calls for the CEO and COO.
- Organise all travel arrangements for the CEO and COO.
- Deal with all expenses for the CEO and COO and manage sign off.
- Meet and greet visitors at all levels of seniority when necessary.
- Read, monitor and respond to emails for the CEO as appropriate.
- Arrange all internal meetings for the Exec Team.
- Liaise at board level with shareholders and their PAs – organising board meetings, writing emails, distributing board materials and arranging meetings.
- Arrange taxis / couriers.
- Ad hoc support to other teams as required.
- Minute taking in board meetings and other meetings as required.
Facilities/Support Team
- Line managing the Support team (PA to Sales Director, Commercial & Trading Director, head of Client and Receptionist).
- Overseeing and reforecasting of the facilities budget annually and quarterly
- Office Management support – working with the other Support team members to make sure the office is kept looking presentable at all times
- Work with the receptionist to manage the primary function of the screening room
- Ensure all Health and Safety, Fire regulations and evacuations are in place and legally compliant and all H&S documentation is displayed in communal areas
- Managing office supplier contracts
- Complete annual appraisals for the Support Team
Events/Project Management
- Taking lead on external events relating to the CEO
- Work with the marketing team on internal Summer and Christmas parties.
- Arrange off site days as required: sourcing venues, arranging catering, distributing of any materials.
- Ordering catering for screening room events and internal events as required.
